Booking Policy

Session Reservations

• A session is reserved only after the client signs a booking agreement and pays the non-refundable retainer equal to 30% of the total session fee.

• The remaining balance is due 3 days before the scheduled session. If the balance is not received by that date, MoeHaus Studios reserves the right to cancel the booking and retain the retainer.

Rescheduling and Cancellations

• Client cancellations made more than 14 days before the scheduled session will receive a refund of any payments made beyond the non-refundable retainer.

• Rescheduling requests made more than 14 days before the session will be accommodated subject to photographer availability; retainer will be applied to the new date.

• Cancellations or reschedules within 14 days of the session forfeit the retainer. If MoeHaus Studios is able to rebook the vacated date, a partial refund may be issued at our discretion.

• Same-day cancellations or no-shows forfeit all payments made, including the retainer.

Weather and Force Majeure

• For outdoor sessions, MoeHaus Studios will monitor conditions and may offer to reschedule if weather is unsafe or unsuitable. If rescheduling is not possible due to client availability, cancellation terms apply.

• MoeHaus Studios is not liable for delays or cancellations caused by weather, pandemics, government restrictions, or other events beyond our control. In such cases we will make reasonable efforts to reschedule; refunds will be handled according to the specifics of the event and the fees already incurred.

Client Responsibilities

• Clients must arrive on time and prepared. Late arrivals will reduce shooting time; session time will not be extended to compensate unless otherwise agreed in writing.

• Clients are responsible for securing any necessary permits, permissions, or location fees for non-studio shoots. MoeHaus Studios can advise but is not responsible for costs or penalties resulting from missing permits.

• Children under 18 must be accompanied by a parent or legal guardian during the entire session.

Model Release and Use

• By booking, clients grant MoeHaus Studios the right to use selected images for portfolio, marketing, and social media unless a written restriction is agreed upon at booking and may incur additional fees.

• Clients will receive a model release form to sign prior to or at the session.

Image Delivery and Turnaround

• Typical curation and editing turnaround is 5-7 days from the session date unless a different timeline is agreed. Rush delivery may be available for an additional fee.

• Delivery formats and included image counts are defined in the booking agreement. Additional edited images or retouches may be purchased afterward.

Payments and Fees

• Payments may be made by credit card, bank transfer, or other methods specified in the booking agreement.

• Sales tax and applicable processing fees are added to invoices as required.

• Returned payments or chargebacks may incur additional administrative fees and suspension of deliverables until resolved.

Third-Party Vendors

• If additional vendors (hair, makeup, stylists) are booked through MoeHaus Studios, the client is responsible for their fees and any cancellation terms those vendors require. MoeHaus Studios is not liable for vendor performance.

Privacy and Safety

• MoeHaus Studios respects client privacy and will handle personal information in accordance with applicable laws. Requests for image privacy or deletion should be submitted in writing and may be subject to contractual limits.

Amendments

• MoeHaus Studios reserves the right to amend these booking policies. Changes will be communicated to clients with existing bookings when possible; policies in effect at the time of booking will govern that booking unless otherwise agreed in writing.
